# Access the mail through email clients

***

It is possible to use the Glesys email service with virtually all types of email programs on computers and mobile phones, as long as the program supports IMAP or POP3 for reading email, and SMTP for sending email.

The following servers, ports, and protocols are available. You should always choose an option with encryption (SSL or TLS).

## Incoming email (IMAP or POP3)

The hostname for both IMAP and POP3 is [*mail.glesys.se*](http://mail.glesys.se). The username is the complete email address for the account. The password is the one displayed when you created the account.

The following ports can be used:

**Ports for IMAP**

* Without SSL/TLS: 143
* With TLS: 143
* With SSL: 993

Note that the same port is used for both unencrypted communication and TLS. Therefore, make sure to enable TLS in the email client to avoid unintentional unencrypted communication.

**Ports for POP3**

* With SSL: 995
* Without SSL: 110

## Outgoing email (SMTP)

The Glesys SMTP server (outgoing email) is located at [*mail.glesys.se*](http://mail.glesys.se) on the following ports. Note that you need to authenticate with the SMTP server to send emails. The username is the complete email address, and the password is the one displayed when you created the account.

* With TLS: 587 or 25
* With SSL: 465
* Without SSL: 25

Note that port 25 can be used both unencrypted and with TLS. Therefore, make sure to enable TLS in the email client to avoid unintentional unencrypted communication.

## Examples with common email clients

Here are examples of configurations for two common email clients—Thunderbird, macOS Mail, and Microsoft Outlook 2021. Other clients are configured similarly.

{% tabs %}
{% tab title="Thunderbird" %}
You add your account to Thunderbird by clicking on **Edit → Account Settings**. Then, click on **Account Actions → Add Mail Account**.

Now, fill in the name and email address. Then, click on **Configure manually**.

* **Port:** 993
* **Connection security:** SSL/TLS
* **Authentication method:** Normal password
* **Username:** the complete email address for the account

**Outgoing server**

{% endtab %}

{% tab title="macOS Mail" %}
When macOS Mail starts for the first time, the setup wizard for adding a new account is displayed. If you already have email accounts in macOS Mail, click **Mail** in the menu and select **Add Account...**. The setup wizard for adding a new account will now start. Here, select the option **Other Mail Account...** and click **Continue**.

<div align="left"><figure><img src="/files/tPLjce06VGHBiRsU035E" alt=""><figcaption></figcaption></figure></div>

In the next dialog box, fill in your name, email address, and password. The name is the one displayed to the recipient in the *From* field. When you are done, click **Sign In**.

<div align="left"><figure><img src="/files/smKpH0k95LAueDRCFQCU" alt=""><figcaption></figcaption></figure></div>

In the next dialog box, enter all the details for the email account, including the server address and type. When you are done, click **Sign In**.

* **Email Address:** The complete email address
* **User Name:** Same as the email address
* **Password:** The password created when you set up the email account
* **Account Type:** IMAP
* **Incoming Mail Server:** [mail.glesys.se](http://mail.glesys.se)
* **Outgoing Mail Server:** [mail.glesys.se](http://mail.glesys.se)

<div align="left"><figure><img src="/files/P3XRAh7JO0t8dJH0l8eY" alt=""><figcaption></figcaption></figure></div>

The email account is now saved in your Mail program.
{% endtab %}

{% tab title="Outlook 2021" %}
When Outlook 2021 is started for the first time, an account wizard will start. If this isn't your first time starting Outlook 2021, you can start the wizard by clicking **File** and selecting **Add account**. The same wizard will start.

In the first step, enter your Glesys email address. Also, click on **Advanced options** and tick the checkbox for **Let me set up my account manually**. Then, click **Connect**.

<div align="left"><figure><img src="/files/i2QBbIBl7GEYMirEamS9" alt=""><figcaption></figcaption></figure></div>

After a while, you'll get to choose the type of email server this account uses. Here, select **IMAP**.

<div align="left"><figure><img src="/files/VX7wPhN0zi6AUnk9QJRc" alt=""><figcaption></figcaption></figure></div>

In the next step, enter the details for the Glesys mail server. Here, enter **mail.glesys.se** for both incoming and outgoing mail. For the incoming port, enter **993**. For the outgoing port, enter **465**. For both incoming and outgoing encryption methods, select **SSL/TLS**. When all the information is filled in, click **Next**.

<div align="left"><figure><img src="/files/Rl0WO5ct9XuuKz4c2DNb" alt=""><figcaption></figcaption></figure></div>

Now you need to enter your password for the email account. This is the password that was displayed when you created the account. When you have entered the password, click **Connect**.

<div align="left"><figure><img src="/files/7fw6RC1LTwezHduVukw2" alt=""><figcaption></figcaption></figure></div>

The account is now ready. In the following dialog, uncheck **Set up Outlook Mobile on my phone, too** if you don't intend to set up Outlook on your phone right now. Then click **Done**, and you can start using Outlook 2021 with your new Glesys account.

<div align="left"><figure><img src="/files/b1ALeLkYtpDZfv1WQeYF" alt=""><figcaption></figcaption></figure></div>
{% endtab %}

{% tab title="Gmail" %}
You can send and recieve email from and to your Glesys email account in your Gmail account by using POP3 and SMTP. That way, you can send and receive email using your own domain directly from inside Gmail.

Start by signing in to your Gmail account. Click the **gear icon** in the upper right corner and then **See all settings**.

Then, click on **Accounts and Import**.

<figure><img src="/files/9iwmL792hJ5XOp1BAPiu" alt=""><figcaption></figcaption></figure>

## Import email and contacts

Click **Import mail and contacts** to retrieve email from a POP3 account.

<figure><img src="/files/T1iAIqdjG1z5Du9jAjZi" alt=""><figcaption></figcaption></figure>

A popup window now opens. Enter the email address you created in Glesys control panel. In this guide we use `test@glesys.se`.

<figure><img src="/files/p00dvF7f1EbrGAtOel6v" alt=""><figcaption></figcaption></figure>

In the next screen, enter the password for your email address. For the **POP username**, fill in your email address (in our example `test@glesys.se`).

If you are using an email account from Glesys, use our **POP server**: `mail.glesys.se`.

We recommend using SSL. Enabling incoming mail over SSL prevents outsiders from being able to read your messages.

Check the box **Use SSL** and make sure the **Port** is set to `995`.

<figure><img src="/files/zAI3HRs666BGDWqhxSRZ" alt=""><figcaption></figcaption></figure>

In the next screen we keep the default options selected, namely **Import mail** and **Add a label to all imported messages.** Of course, you can adjust the settings to suit your needs.

<figure><img src="/files/ZX8hY89O0PoOog0uPRCS" alt=""><figcaption></figcaption></figure>

When you click **Start import**, your email messages will begin to be imported.

<figure><img src="/files/vQnYdiQvlOjVGGdgfomB" alt=""><figcaption></figcaption></figure>

When your messages have been imported, you can start receiving email sent to your address in Gmail.

A tip is to click the refresh button to check whether you have any new messages. It doesn’t always work to just click the inbox.

<figure><img src="/files/pmVu6HJhsf97axqNvv3S" alt=""><figcaption></figcaption></figure>

## Sending email

To send email from Gmail using the added email account, go back to **Accounts and Import** and, in the **Send mail as** section, click **Add another email address**.

A popup window opens where you enter your name and the email address you use. We choose to uncheck the box **Treat as an alias**. Google’s documentation explains what this setting does. You also have the option to **Specify a different reply‑to address**, which is entirely optional. Proceed by clicking **Next step**.

<figure><img src="/files/nQCHJWJ0r5qXwUAXXAya" alt=""><figcaption></figcaption></figure>

In this screen you need to enter our credentials to **send email via our SMTP server**.

For the **SMTP server**, enter: `mail.glesys.se`.

Your **username** is your email address, and your **password** is the same one you use for Glesys webmail.

Gmail recommends choosing the **Secure connection using TLS** option rather than SSL. Whichever you select—TLS or SSL—you should use **port 587**.

<figure><img src="/files/14c1mJ13mfkCU0GzlITd" alt=""><figcaption></figcaption></figure>

Gmail will send a verification code to the email address you entered (it may take a few minutes for the message to arrive). Open your inbox and click **Refresh**. Click the link in the email or copy the code and paste it into the field, then finish by clicking **Verify**. You have now proven your identity and can send email from your Gmail account using that address.

<figure><img src="/files/ZmtqDCg33BI6Bboyrfzm" alt=""><figcaption></figcaption></figure>

## Account settings

To make the account you just added your primary account, go to **Accounts and Import**. For the email address you added, click **make default**.

In our example it looks like the screenshot below.

<div align="left"><figure><img src="/files/i6UYGLU4s0ZOtIV4mX1t" alt=""><figcaption></figcaption></figure></div>

Your email address is now pre‑selected when you compose new messages. However, you can still choose from the dropdown menu which email address you want to send the message from.

<figure><img src="/files/6kdEFX41bfGEEwJdilgG" alt=""><figcaption></figcaption></figure>

*Note: POP3 may not be the best solution for you or your organization because the email messages are stored locally on your computer, making you responsible for backing them up. Currently, Gmail does not support using IMAP.*

{% endtabs %}
